COVID Protocols

Overview

Resuming club activity will always carry a degree of risk associated with transmission of Covid-19. The risk cannot be eliminated unless we decide not to resume activity until there is an effective vaccine or cure, or the disease is eliminated from the UK. The law does not expect us to eliminate all risk but requires us to protect people as far as ‘reasonably practicable’.

Training sessions will be held in a ‘COVID Secure Environment’. A COVID Secure Environment is one where the following key requirements are adopted:-

· COVID-19 Officer is in place

· A venue/environment must develop a COVID action plan and risk assessment

· All activity must comply with Government guidance around social distancing before, during and after activity.

· All clubs must capture pre-activity health questionnaires, including participant contact details which can be shared upon request with the governments Test and Trace initiative.

· The Club, Coaches and Run Leaders must ensure everyone at the session maintains good hygiene and that provisions are in place to allow for this.

· Sessions that include young people under the age of 18 will be meticulously planned to ensure their needs are for.

Your COVID-19 Officer is Nivette Chester. Nivette has conducted full COVID Risk Assessments for our structured sessions and the responsibilities laid out below are essential to ensure we host safe sessions.

Club Responsibilities

1. The club will appoint a COVID Officer, who will keep up to date with the latest government and UKA advice.

2. The club COVID Officer will produce and routinely update COVID-19 Risk Assessments. Advising the club of any changes which need to be implemented. COVID Risk Assessments will be circulated to all Coaches/Run Leaders.

3. The club will communicate effectively with all members regarding the ‘return to activity’, structured sessions.

4. The club will manage group sessions to meet the guidance set down by UKA and in doing so follow government guidance including implementing a booking system which will control the number of participants, remove the need to collect cash and collect essential information for the purpose of ‘Track & Trace’.

5. The club will ensure sufficient trained Coaches, Run Leaders and First Aiders are available to host sessions.

6. Prior to each session the club will provide the Coach/Run Leader with a list of participants booked onto the session.

7. The club will ensure the appropriate PPE and sanitizer is available for hands and equipment.

8. The club will ensure all First Aid Kits contain multiple face masks.

9. The club will ensure all sessions are conducted in accordance with this Training Protocol.

10. The club will set up and maintain a booking system allowing members to book on a run session, a week in advance.

Coach/Run Leader Responsibilities

1. Coaches/Run Leaders will ensure their sessions are planned in advance and details communicated to the Webmaster

2. Coaches/Run Leaders will plan sessions that use quiet areas, avoiding town high streets etc where the general public may congregate i.e. pubs and social clubs.

3. Coaches/Run Leaders will ensure that sufficient hand sanitizer is available for each session and all participants use the sanitizer before and after the session.

4. Coaches/Run Leaders will ensure cones are set out before the session and participants instructed to start and finish at a cone. Cones should be separated by a 2 m distance.

5. Registration, instructions and stretching will be conducted at the above cones.

6. A register will be taken, recording participant names, Coach/Run Leader name, start and finish time and emailed to the club within 24 hours of the session taking place.

7. Coaches/Run Leaders will plan routes to avoid entering Tier 3 areas.

8. Coaches/Run Leaders will plan session to ensure social distancing is achievable and contact with surfaces avoided. This includes equipment, gates and stiles.

9. Coaches/Run Leaders will ensure that any equipment used is only handled by one person and cleaned fully after use with the sanitizer provided by the club.

10. The Coach/Run Leader in charge of the session will, after cleaning, pass the equipment to the Coach in charge of the next session.

11. Coaches/Run Leaders taking a training session agree to their name and contact details being forwarded to the Track and Trace Service should an expected/confirmed of case of COVID-19 be identified within the club.

Runners’ Responsibilities

1. Runners will book onto a session using the agreed booking system. If plans change and you are unable to attend, you will advise the club so that the place can be made available to someone else.

2. Runners should not attend a session unless they have booked on to it.

3. Runners will not attend a training session if they are experiencing signs or symptoms of the COVID-19 virus, have been advised to self isolate by the Track & Trace Service or have returned from a country where self isolation for 14 days is required.

4. Runners should not travel into or out of Tier 3 areas to attend training.

5. Runners should minimize travel if they reside in a Tier 2 area.

6. Runners should travel to training alone unless travelling with family members or members from the same ‘bubble’

7. Runners should always maintain social distancing, arriving promptly for the session and leaving as soon as the session is complete.

8. Runners should meet at the designated start point and find a spare cone to stand by. This will allow your Coach/Run Leader to take a register and provide coaching instructions for the session.

9. On arrival and completion of the session, runners should use the hand sanitizer available.

10. Runners should not touch any equipment used during the session (cones etc).

11. If runners encounter members of the general public they should ensure they run wide (at least 2m) of them. If this is not possible, the runner should stop and stand clear before proceeding.

12. Runners should notify the club COVID-19 Officer (Nivette Chester) if they test positive for COVID-19 or experience COVID-19 signs/symptoms and have attended a recent club training session (within the last 14 days).

13. Runners who test positive for COVID-19 and have attended a club training session should complete the UKA Monitoring Form (see below for a link to this form).

14. Runners attending a training session agree to their name and contact details being forwarded to the Track and Trace Service should an expected or confirmed of case of COVID-19 be identified within the club.

What to do if you suspect you have COVID-19 - Track and Trace

Should anyone develop symptoms of Covid-19 they must self isolate with other members of their household and order a test to find out if they have Covid-19. A test can be ordered from www.nhs.uk/coronavirus or by calling 119 if no internet access is available. If the test result is positive for Corona virus you must share information promptly about recent contact through NHS Track and Trace service to help alert other people who may need to self isolate.

If you have had close contact with someone who has corona virus, you must self isolate. You must also self isolate if the NHS Test and Trace service advises you to. Current guidance is if you experience symptoms you should self isolate as soon as you experience symptoms for 10 days. Anyone else in your household should also isolate for 14 days from when you started having symptoms. You should order a test immediately.

If you receive a positive test result you must complete the remainder of your 10 day isolation – others in your household must also continue to isolate for 14 days. If the test result is negative, you and others in your household no longer need to isolate. If you test positive, Track and Trace service will email or text you instructions on how to share details of people whom you have had close, recent contact and places you have visited. It is important to respond ASAP.

There a quite a few SPAM emails and messages circulating. Contact tracers will call you from this number 0300 013 5000 and text messages will be from NHSTracing and they will ask you to log into the NHS test and trace contact tracing website.
